Assistant Program Officer, Muskie Internship Program - Cultural Vistas - Washington, DC
The Assistant Program Officer will support the Program Officer in the administration, planning, and implementation of the program.
Essential Duties & Responsibilities
Assists in responding to applicant inquiries Manages electronic applications, including preparing documentation for selection process Manages post-selection electronic participant communication Researches project resources, including background information on intern topic areas, cultural activities, networking activities in host internship city, community service opportunities Gathers, enters, and edits data Prepares logistical arrangements for participant orientation and de-briefing sessions (hotel and transportation) Manages participant internship travel logistics; assists in housing arrangements Prepares program materials Assists in developing content for orientation sessions and program arrangements for participants Maintains physical and electronic files Other administrative tasks as assigned (including gathering data on programs) Contributes to social media Assists with financial/accounting projects as needed, including, but not limited to: Assists with accounts payable processing in Sage Fund Accounting and Sage Grants Management Assists with maintenance of Sage financial data and grant reporting requirements Upholds federal grant internal control procedures and processes Assists in compiling supporting analyses and documentation for internal audit by independent accountants, in accordance with OMB Circular A-133 Other general tasks as assigned Skills & Abilities Required Advanced understanding of program management with ability to conduct site visits to orient host internship sites with program goals; developing understanding of budgeting processes Demonstrated ability to maintain proactive, flexible, inventive approach Possess commitment to professionalism and communication Ability to provide excellent customer service for both internal and external customers Interest in and commitment to the mission of Cultural Vistas Foreign language skills a plus Ability to multi-task, to prioritize workload, to organize, and make decisions in a deadline sensitive environment Demonstrated ability to anticipate outcomes and problem solve Strong analytical skills, good judgment and critical thinking skills Ability to exhibit a collegial attitude and excel within a collaborative team working environment Strong ability to communicate effectively within a multi-cultural environment and with people from diverse cultures and countries Strong commitment to contribute to internal and cross-departmental communication Strong personal commitment to continual professional development Interest in and commitment to the mission of Cultural Vistas Foreign language skills a plus Education & Experience Required
Bachelor's degree in international relations, business, political science, public policy or related field is required Minimum of 2-to-3 years of administrative, customer service, client relations or program management experience required. Prior international or educational experience preferred. Interest in Central Asia and Russia a plus.
